WhatsApp Business Automation for UK Businesses
The free app covers more than people think. The API covers more again, with rules you need to know before building.

Short answer
The free WhatsApp Business app offers greeting messages, away messages, quick replies and labels. Full automation needs the WhatsApp Business Platform (the API), usually via a provider or a CRM. It requires opt-in for business-initiated messages, approved templates outside the 24-hour customer service window, and is billed per delivered template message.
WhatsApp Business automation for UK businesses comes in two very different forms: the free WhatsApp Business app, which offers simple built-in automation, and the WhatsApp Business Platform — the API — which supports full integration with your CRM, booking system and AI, under stricter rules and per-message pricing. Which you need depends on volume and on whether you want messages sent by other systems.

For a one-person business answering customers from a phone, the app's greeting and away messages plus a set of quick replies covers a surprising amount. Move to the Platform when you need bookings, orders or a CRM to send WhatsApp messages, or several people to share one number.
How access to the Platform works
Most small businesses do not connect directly. They use the Platform through a CRM with WhatsApp built in (GoHighLevel and HubSpot both offer this), or through a provider such as Twilio, or Meta's own Cloud API with a developer. You need a Meta business portfolio, a phone number not already registered on the WhatsApp app, and a verified display name.
The rules that shape everything
The 24-hour customer service window
When a customer messages you, a 24-hour window opens. Within it you can reply freely, with any content. Outside it, you can only start a conversation with a pre-approved template message.
Template categories
Templates are approved by Meta and fall into categories:
- Marketing — promotions, offers, announcements
- Utility — order updates, appointment reminders, account alerts
- Authentication — one-time passcodes
Categorise honestly. A template submitted as utility but containing promotional content can be re-categorised as marketing.
Pricing
At the time of writing (October 2026), Meta charges per delivered template message, a model that replaced conversation-based pricing on 1 July 2025. Marketing templates are always charged. Utility and authentication templates are charged outside the customer service window, and utility templates are free inside it. Ordinary replies within the window are free. Rates vary by country, so check Meta's WhatsApp pricing page for current UK figures, and remember your provider may add its own charge.
Opt-in
Business-initiated messages require an opt-in that names your business and states that the person is agreeing to receive WhatsApp messages. UK consent rules for marketing — PECR and UK GDPR — apply on top. GDPR and AI automation for UK businesses covers the data protection side.
AI chatbots
From 15 January 2026, Meta's WhatsApp Business Solution terms restrict providers whose primary offering on WhatsApp is a general-purpose AI assistant. A task-focused assistant that helps your own customers with your own services — answering questions, booking, order tracking — is a different thing and remains permitted. Keep it scoped to your business and offer a clear route to a person.
Automations that work well on WhatsApp
- Appointment confirmations and reminders. Read quickly, and a reschedule link in the message prevents no-shows. How to automate appointment booking covers the full flow.
- Order and delivery updates. Dispatched, out for delivery, delivered.
- Enquiry capture. A WhatsApp click-to-chat button on your website, with each new conversation creating a CRM contact.
- Simple question answering. Opening hours, service areas, prices for standard jobs — with a handover to a person for anything else.
- Review requests after a completed job, where the customer has opted in.
A worked example: appointment reminders
Say a mobile dog groomer takes bookings online and wants reminders on WhatsApp. The flow:
- The booking form includes an unticked box: 'Send my appointment reminders by WhatsApp from [business name]'. That is the opt-in.
- The booking tool sends the booking to the CRM, which records the opt-in and the time it was given.
- The day before, the CRM sends an approved utility template: the date, the time and a reschedule link.
- If the customer replies, the 24-hour window opens, and the groomer can answer freely from the shared inbox.
- Customers who did not opt in get the same reminder by text or email instead.
Each reminder is one template message, charged at the utility rate if no customer service window is open. Free-text replies afterwards cost nothing.
Where to be careful
- Bulk marketing broadcasts. Cost money per message, and people block businesses that over-send. A high block rate can affect your account's messaging limits.
- Complaints. Hand straight to a person.
- Sensitive information. Do not ask for card numbers or health details over WhatsApp.
